Cancellation and Refund Policy

Purpose
This Cancellation and Refund Policy (“Policy”) sets out the rights and obligations of clients (“you”) and Renewal Bodywork and Coaching (“we”, “us”, “our”) regarding appointment cancellations, rescheduling, and refunds. We are committed to providing transparent, fair, and compliant services consistent with Australian Consumer Law (ACL) and Queensland legislation.
Booking and Payment
All bookings are considered confirmed upon receipt of payment unless otherwise specified. Payment will be processed using the method provided at the time of booking.
Appointment Cancellations and Rescheduling
Notice Period:
Clients are required to provide a minimum of 24 hours’ notice to cancel or reschedule an appointment.
Method of Cancellation:
Cancellations or rescheduling requests must be made via phone, email, or our online booking system.
Cancellations via social media messages or SMS will not be accepted unless confirmed by our staff.
Rescheduling:
Clients may reschedule their appointments up to 24 hours prior without penalty.
Rescheduling within 24 hours of the appointment is subject to late cancellation fees.
Late Cancellations and No-Shows
Late Cancellations:
If you cancel less than 48 hours before your scheduled appointment, you agree to pay a late cancellation fee of 50% of the scheduled service fee. This fee will be charged to your account and must be settled prior to booking future appointments.
No-Shows:
A no-show occurs if you fail to attend your scheduled appointment without providing cancellation notice as specified above. You agree to pay a no-show fee of 100% of the scheduled service fee. This fee must be paid before rebooking.
Exceptions:
We may waive these fees in cases of genuine emergencies or unforeseen circumstances, at our discretion, upon provision of appropriate evidence.
Rescheduling and Cancellations by Us
In exceptional circumstances, we reserve the right to cancel or reschedule appointments. If we cancel your appointment, you will be offered a full refund or the opportunity to reschedule.
Refund Policy
Our policies are designed to be fair, transparent, and compliant with the Australian Consumer Law (ACL). If you believe that our services have not been delivered with due care and skill or do not meet the standards required under law, please contact us directly.
We will review your concerns and, where appropriate, offer a suitable remedy in accordance with your statutory rights.
We are committed to providing high-quality services and respecting your consumer guarantees. Our goal is to resolve any issues promptly and fairly, ensuring your experience with us remains positive.
Services:
Refunds are generally not provided for services unless:
- The service was cancelled by us before completion; or
- The service was not delivered with due care and skill.
Workshops:
Cancellations made at least 7 days prior to the scheduled workshop will receive a full refund. Cancellations made less than 7 days before the event are non-refundable but may, at our discretion, receive credit toward future workshops.
Vouchers and Gift Cards:
All vouchers and gift cards issued by us are non-refundable and non-transferable, unless required by law.
Payment Method
Any fees payable under this Policy will be charged to the same payment method used for the original booking unless we agree otherwise.
Your Rights and Responsibilities
- You acknowledge that your appointment time is reserved specifically for you.
- You agree to provide at least 24 hours’ notice to cancel or reschedule.
- You agree to pay any applicable cancellation or no-show fees as outlined.
Communication and Acknowledgement
Clients will be informed of this Policy prior to their first appointment. A copy is available on our website and in our premises. By booking with us, you acknowledge understanding and acceptance of this Policy.
Fair Trading and Consumer Law
Our services comply with the Australian Consumer Law. Nothing in this Policy limits your rights under the ACL. If a service does not meet the statutory guarantees, you may be entitled to a remedy.
Dispute Resolution
If you believe a fee has been unfairly charged or if you have any dispute concerning our services, please contact us directly at admin@renewalbodyworkcoaching.com. We will aim to resolve disputes promptly.
